Feedback Categories

Complete guide to managing feedback categories in Moyee, including viewing category lists, adding new categories, editing, activating/deactivating, and setting category descriptions.

Overview

The Feedback Categories menu is used to manage the categories available for employee feedback. This feature allows you to define feedback types such as Bug Report, Complaint, Feature Request, and others, as well as set the active/inactive status for each category.

The Feedback Categories page is located in the menu: Dashboard » Feedback » Categories

Category List View

This page displays a table listing all available feedback categories with complete information.

Search Feature

A search column is available at the top of the table to help find categories based on:

  • Category name
  • Description

Table Structure

The table displays the following columns:

Active Status

The Active column displays the active/inactive status of the feedback category:

Active Status Function:

  • Active: Category appears in the dropdown options when creating new feedback
  • Inactive: Category is hidden from the dropdown, but old feedback data remains stored

Actions Menu

Each data row has an Actions menu (⋮) containing:

View Category

To view complete category details:

  1. Click the View icon (👁️) on the desired row
  2. A detail popup/drawer will appear displaying:
    • Category name
    • Complete description
    • Active status
    • Creation date
    • Last update date
    • Number of feedback with this category

Edit Category

  1. Click the Edit icon (✏️) on the desired row
  2. The edit form will open (similar to the Create New Category form)
  3. Change the data that needs correction
  4. Save changes

Toggle Active

  1. Click the Toggle Active icon (🔄) on the desired row
  2. Status will change:
    • From Active to Inactive
    • From Inactive to Active
  3. Confirm changes if necessary
Note: Deactivating a category will not delete existing feedback with that category, only prevents the use of the category for new feedback.

Delete Category

  1. Click the Delete icon (🗑️) on the row you want to delete
  2. Confirm deletion
  3. Data will be permanently deleted from the system
Warning: Deleting a category is permanent and will affect all feedback using that category. Consider deactivating instead of deleting if there is still related data.

Other Features

Columns

Click the Columns button to arrange which columns appear in the table:

Available columns:

Columns Features:

  • Check/uncheck columns you want to display
  • Arrange column order with drag and drop
  • Reset to default settings

Filters

Click the Filters button to filter categories based on:

Filter by:

  • Active Status (Active, Inactive, All)
  • Date Range (Creation date range)
  • Name (Category name contains certain text)

Export

Click the Export button to export table data to:

New Category

To add a new feedback category, click the New Category button at the top of the page.

Field Details

Name *

  • Text input for category name
  • Example: "Bug Report", "Feature Request", "Complaint"
  • Must be unique (cannot be the same as other categories)

Description

  • Text area for category description
  • Explanation of the category's function and usage
  • Example: "Report bugs or technical issues"

Active

  • Checkbox to determine active status
  • Checked (✓) = Category Active
  • Unchecked = Category Inactive
  • Default: usually Active (checked)

How to Create a New Category:

  1. Click the New Category button
  2. On the form that appears:
    • Fill in Name (required) - example: "Technical Support"
    • Fill in Description (optional) - example: "Questions or issues related to technical support"
    • Check Active if you want the category active (default)
  3. Click + Create to save
  4. Click Cancel to cancel
Note: Newly created categories will immediately appear in the table and be available for selection when creating new feedback.

Categories managed in this menu will be used in:

1. Create New Feedback

When employees create new feedback, they select a category from the dropdown containing categories with Active status.

2. Filter by Category

In the Feedback Management page, a category filter is available that only displays Active categories.

3. Reports and Analysis

Categories are used to group feedback in reports and trend analysis.

Usage Tips

  1. Use Clear Names - Category names should be short yet descriptive to be easily understood.
  2. Informative Descriptions - Fill in descriptions to explain when this category is used.
  3. Activate Relevant Categories Only - Only activate categories that are actually needed to avoid confusion.
  4. Deactivate Instead of Delete - If a category is no longer used, it's better to deactivate it rather than delete it to preserve old data.
  5. Review Periodically - Evaluate categories periodically, add new categories if needed and deactivate those that are no longer relevant.
  6. Be Consistent with Terms - Use terms consistent with other menus in the system.
  7. Don't Have Too Many - Avoid having too many categories to avoid confusing users.

Common Scenarios

Scenario 1: Adding a New Category

The company wants to add a "Technical Support" category for technical questions:

  1. Click New Category
  2. Fill in Name: "Technical Support"
  3. Fill in Description: "Questions or issues related to technical support"
  4. Check Active
  5. Click + Create
  6. New category appears in the table and is ready to use

Scenario 2: Deactivating a Category

The "Suggestion" category is rarely used and needs to be deactivated:

  1. Find the row with Name "Suggestion"
  2. Click the Toggle Active icon (🔄)
  3. Status changes from Active to Inactive
  4. Category no longer appears in the feedback dropdown options

Scenario 3: Editing a Description

A category description needs to be improved to be clearer:

  1. Find the category to be edited
  2. Click the Edit icon (✏️)
  3. Change the description
  4. Save changes

Scenario 4: Deleting a Duplicate Category

There is a duplicate category created by accident:

  1. Ensure there is no feedback using that category
  2. Click the Delete icon (🗑️)
  3. Confirm deletion
  4. Category is permanently deleted

Troubleshooting

Category Not Appearing in Feedback Dropdown

  • Check the category status in this menu, make sure it's Active
  • Refresh the Feedback page
  • Clear browser cache
  • Logout and login again

Failed to Create New Category

  • Ensure the Name field is filled
  • Ensure the category name is unique (not already in use)
  • Check internet connection
  • Try using a different browser

Cannot Deactivate Category

  • Ensure you have the appropriate access rights
  • Some categories may not be able to be deactivated (system required)
  • Contact administrator if necessary

Failed to Delete Category

  • Ensure there is no feedback using this category
  • Deactivate it first before deleting
  • Delete or move related feedback

Export Not Working

  • Ensure no popup blockers
  • Limit the amount of data if too much
  • Try CSV format if Excel has issues

Feedback Management

Categories managed here will appear as options in the Feedback Management menu.

Create New Feedback

The feedback creation form uses categories from this menu.

Reports & Analytics

Feedback reports are grouped by category for trend analysis.
